Updating A Participant on a Backdated Schedule Recently Entered Will Show Both Values on Reports - Support Advisory

Issue

Updating a Participant on the Participant tile in the Deal Summary workspace or via a Bulk Participant Update, on a backdated schedule that has just been entered or imported will result in both participants showing on reporting, if that participant is mapped to a GL String for at least one ledger to which the schedule is booked.

When could the issue manifest?

When clients who have MEC in place and a backdated schedule is entered and changes were made to a participant that is mapped to a GL String on a ledger the schedule is booked to in the same open period.

How does the issue manifest?

On reports such as the Ledger Export, you will see the adjusting entries for the backdated timeframe will be associated with the Participant information that was originally entered when the schedule was booked whereas current and ongoing entries will be associated with the new value associated with the new Participant that was changed to in the same open period.

Recommended Solution

If the entries are not what you desired, simply delete the schedule from the UI and re-enter the schedule with the current participant information. This will ensure all entries on reports, like the Ledger Export, will only be associated with this new value. To delete the schedule, please go to the History Tile in the Deal History workspace and select Deleted Deal in the Event to Record drop-down. Remember, you may only delete a deal if the period it was entered is still open. If you have closed periods since the deal was entered, you will have to rollback and re-enter the Schedule with the current participant information. If you would like to use the same Schedule number, please Renumber the schedule before rolling back the booking.
