Evergreen Auto-Recorded and not Auto-Rolled Back when Superseded - Support Advisory

Issue

When a user records an event and evergreen is not rolled back, it results in accounting issues.

Recommended Solution

Follow this process on a monthly basis to avoid accounting issues:

  1. Use the BYOR for Portfolio report to review deals with an Evergreen status and track when the status changes to ensure the evergreen event is rolled back when retroactive Renewal/Return/Buyout replaces evergreening.

  2. Run the EOT Pipeline report to see which leases will be placed into evergreen and then record the actual event that occurred before the evergreen has been recorded.

  3. Run the EOT Activity report to see which leases have had automatic evergreen events recorded. Compare this with the leases where events are being recorded by the customer to note where the automatic events need to be rolled back.

  4. For any deals where a term renewal has been recorded, manually reclassify the lease to bring it back on the books.
