BI Report Scheduling - Product Advisory
Release 20R2
The ability to schedule the Business Intelligence (BI) reports was include in the 20R2 release. Scheduling reports involves creating a report with a specific set of parameters and scheduling options. The report will run in the evening and is forwarded via email. Scheduling reports insures a consistent set of data between reporting periods.
Key Notes
Reports are generated on the specified day during the evening at approximately 10pm ET. A sweep is executed prior to the scheduled report run to ensure the most recent data is available.
Reports cannot be scheduled for the same day. As a reminder, BI reports are now available for status updates and downloads via the Systems Operations Console. This is a valuable resource in the event a report appears to time-out but is still running in the background.
If a scheduled report is the same as the standard BI report with only date/timing scheduling selections included, any enhancements to the standard BI report should automatically be included in the scheduled version of the report. However, if the scheduled version includes additional BI filtering/aggregation or specified data elements, it may need to be rescheduled after standard report enhancements.
Scheduling a Report
Set the parameters of the report to include all non-date related selections that the scheduled report should consider.
At the bottom of each BI report page is a checkbox to enable “Schedule this Report”. Upon checking the box, user will see the following additional parameters related to the scheduling of the report.
Run once on: Select the specific date the report should be run (refer to Key Notes)
Repeat xx days after/before the end of/beginning of every fiscal month/quarter/year: Select the number of days either after or before either the end or beginning of a fiscal month, fiscal quarter, or fiscal year. EX: 2 days after the end of every fiscal month
Daily: Same report settings will run every evening
Weekly/Day list: Selecting Weekly along with a day of the week will schedule the report to run the same day each week.
Run As At: Selecting this option will allow the As At date to dynamically change to either the prior fiscal month end, prior fiscal quarter end, or prior fiscal year end date depending on the current system date. Leaving the selection ‘blank’ will lock in the original AsAt date used when the report was originally scheduled.
Period: Options in the dropdown menu allow different dynamic date ranges based on the selection.
Prior Month: Report output will reflect data only for the fiscal month prior to the current system date.
Prior Quarter: Report output will reflect data for the three months that make up the fiscal quarter prior to the current system date.
Current Month: Report output will reflect data only for the current fiscal month in relation to the system date.
Current Quarter: Report output will reflect data for the three months that make up the current fiscal quarter in relation to the system date.

Q1, Q2, Q3, Q4: Report output will reflect the three months associated with the selected fiscal quarter.
A future release will allow for a ‘blank’ selection that will retain the date setting from the initial creation of the schedule. A ‘Current Year’ option will also be added to reflect data for the 12 months of the current year in relation to the current system date.
In addition to Scheduler Name, send report by e-mail to: After the report is run, it will be emailed to the email address associated with the person who scheduled the report. This field allows for additional email addresses; however, the entered email address must be one that is already created in LeaseAccelerator and associated with a participant. Multiple email addresses should be separated with a semicolon.
Description: Currently not available for the BI reports.
Format: Select “XLSX” for the exported file to be Excel compatible.
Click “Submit Schedule”
All scheduled reports will be listed under the ‘Scheduled’ reporting tile for the user who created the scheduled report. User also has the ability to delete the scheduled report from the Scheduled reporting tile. The list of scheduled reports is not visible to other users.
